How to Use the Time Card Calculator
This simple tool allows you to quickly calculate your total weekly hours, including breaks, and automatically determines your regular and overtime hours.
Step-by-Step Instructions
Follow these steps for each working day to get your accurate weekly total:
- Select the Day: The table is pre-set with standard working days (Monday through Friday).
- Enter Time In: Use the Time In field to enter the time you started your shift for that day. This must be in a 24-hour format (e.g., 9:00 AM is
09:00, and 5:00 PM is17:00). - Enter Time Out: Use the Time Out field to enter the time you finished your shift for that day.
- Enter Break Duration: In the Break (Mins) column, enter the total number of minutes you took for unpaid breaks that day. The calculator defaults to 30 minutes, but you can adjust this for any day.
Automatic Recalculation
The calculator updates the Daily Total (H) and the overall Total Hours (Weekly) in real-time as you enter or change any time or break value. A Calculate Hours button is also available for manual triggering.
How the Calculations Work
1. Daily Total Calculation
The Daily Total is calculated using the following logic:
Total Hours = ( (Time Out in Minutes - Time In in Minutes) - Break Minutes ) / 60
If your shift crosses midnight (e.g., checking in at 10:00 PM and checking out at 6:00 AM the next day), the calculator automatically detects this and adds 24 hours (1440 minutes) to the checkout time to ensure the total duration is correct.
2. Weekly Total and Overtime Breakdown
The Total Hours (Weekly) is the sum of all your daily totals. This total is then automatically split into two categories:
- Regular Hours: All hours worked up to 40 hours in the week.
- Overtime Hours: Any hours worked over 40 hours in the week.
If your weekly total is 40 hours or less, all hours will be displayed as Regular Hours, and Overtime Hours will be 0.00.
Important Tips
- Decimal Format: All final totals are displayed in decimal format (e.g., 8.50 hours means 8 hours and 30 minutes).
- Error Checking: If you see an error message (like a warning about negative hours), double-check your Time In, Time Out, and Break inputs for that specific day.
